Basic FunctionReporting to the Dean of the Graduate School of Education, the Graduate Program Specialist coordinates and performs activities related to domestic and international marketing, events, alumni relations, and outreach in graduate programs, including (but not limited to) initial and advanced educator preparation. The position will be responsible for implementing marketing strategies, marketing communications, and public relations activities for the Graduate School of Education (GSOE). This position also provides high-level clerical and administrative support with assignments and projects reflecting substantial variety. The Graduate Program Specialist serves as a resource to others and provides work direction to others.
Representative Duties• In collaboration with University Marketing and through the use of social media, increases the visibility of the GSOE and ensures the promotion of GSOE events and activities to targeted audiences using appropriate communication venues and mediums.
• Creates and implements a master marketing and publications calendar with input from the Dean of the Graduate School and department chairs.
• Develops strategies and executes revisions of the website content including video, audio and photographs so that the website is relevant, accurate, and engaging for all users.
• In collaboration with University Marketing, creates and develops an annual strategic, marketing communication plan that will support the GSOE’s brand and strategic agenda; assists in the planning and execution of the overall marketing strategy and marketing operations for all graduate programs, including those directed to new students, existing students, alumni, and the community.
• Engages and collaborates with administrative and academic entities across campus (e.g., Graduate Admissions) in order to integrate marketing communications that will drive and consolidate the GSOE’s brand in a consistent and effective way that will engage its key audiences, particularly prospective students and their families, alumni, and donors.
• Identifies market research needs; maintains benchmarks and success of strategic marketing communications.
• Plans, implements and monitors progress of assigned projects and provide reports on projects as requested.
• Advises and provides information related to marketing and public relations to the Dean of the Graduate School of Education, department chairs and faculty members, staff, and other persons as needed.
• In collaboration with University Marketing assist in the production of promotional material including (but not limited to) folders, flyers, postcards, posters, banners, videos, social media, promotional merchandise and others; maintains a sufficient supply and places orders as necessary.
• Plans, coordinates and executes other events and public relations activities, and provides assistance to other offices and administrators at the university in the planning, coordination and execution of events as directed by the Dean of the Graduate School of Education; drafts public relations material and collaborates with other offices and administrators on issues pertaining to public relations.
• Coordinates various program activities and collaborates with the GSOE Development Director, University Marketing and Graduate Admissions, the University Advancement office and other departments and personnel as needed.
• Assists the Dean of the Graduate School of Education, department chairs, various program managers, and University Marketing and Graduate Admissions in the design, permanent maintenance, constant updating and occasional revision of online media including websites, blogs, and other social media (e.g. Facebook, LinkedIn, and others); interface with the university web-master concerning websites, blogs and other social media.
• Maintains and utilizes databases consisting of (but not limited to) prospective, newly admitted and current students, alumni, board members, adjunct faculty members, and other contacts.
• Coordinates, facilitates and executes communication through various mediums including in person, social media, email, phone, and other means with prospective students, current students, alumni, and the general public.
• Attends university and non-university events for networking purposes as needed and as directed by Dean of the Graduate School of Education.
• Maintains calendars; arranges, schedules, organizes and attends a variety of meetings and appointments related to GSOE marketing and outreach for the Dean of the Graduate School of Education with on-campus and off-campus individuals and organizations (including ones in other countries).
• Prepares a variety of complex documents from multiple sources and offices including drafts, notes, letters, memoranda, agendas, minutes, reports, handbooks and other materials.
• Communicates with various University constituencies, stakeholders, students, personnel, and faculty; responds to incoming inquiries (telephone, email, fax, web-based), screens and routes messages to appropriate personnel.
• Supervises graduate assistants and student workers as needed.
• Serves as a member of the GSOE Marketing and Enrollment Committee and act as liaison and point person to the University Graduate Marketing and Enrollment departments.
• Performs various administrative duties related to GSOE marketing and outreach and relieve the Dean of the Graduate School of Education as well as department chairs of a variety of administrative duties.
• Performs other duties as assigned.

• Organize, coordinate and oversee complex operations such as the planning and execution of meetings and events.
• Create, assemble, organize, prepare and analyze data for records, lists and reports.

• Establish and maintain cooperative and effective working relationships with other staff members and offices.
• Think critically; understand and resolve issues, complaints and problems.
• Provide support and participate in the evaluation, design and implementation of policies, procedures and guidelines related to marketing and outreach for the GSOE.
• Answer telephone calls and other communication and respond courteously and professionally.
• Speak publicly in front of on-campus and off-campus audiences.
• Train and provide work direction to others.
• Travel domestically and internationally.
Education and ExperienceEDUCATION AND EXPERIENCE:
Any combination equivalent to: Bachelor’s degree and a minimum of two years of experience in marketing, public relations and/or event planning.
• Ability to travel to conduct work as needed.
