Position Title
Administrative Assistant - 10 Hrs/Week

Hiring Range: $16.18 - $18.69
Basic Function
Under the direction of the Director of Community Counseling Services act as Administrative Assistant performing such duties as: word processing, scheduling appointments, taking messages, routing calls, answering student and faculty questions; providing secretarial support for professional staff as directed by the Director.
Representative Duties
• Manage phone system including answering phones, initial client contacts, forwarding messages to therapists and maintenance of emergency and on-call phone lists. E
• Oversee complex scheduling of student counseling services and community counseling clients with trainees, interns and licensed professionals. E
• Prepare and protect community counseling files, maintaining uniformity and confidentiality of records, ensure no unauthorized release of confidential information. E
• Route mail for Director and professional staff. E
• Prepare correspondence; draft routine responses for the Director. E
• Maintain a billing system for clients and make deposits at the Business Office. E
• Prepare and update chart forms, fee schedules and other supporting material. E
• Compile information and oversee the production of statistical reports. E
• Make arrangements for staff meetings and other events; i.e., practicum student orientation, guest speakers, etc. E
• Maintain familiarity with rules, regulations, laws and policies of the University and mental health practices. E
• Maintain and update procedure manual for students to include updated forms, etc. E
• Perform related duties as assigned by the Director.
Knowledge Of
Organization, policies and procedures of the Counseling Center
Record-keeping techniques
Correct English usage, grammar, spelling, punctuation and vocabulary
Oral and written communication skills
Interpersonal skills using tact, patience and courtesy
Excellent telephone and direct customer service skills
Operation of a PC computer, fax and copy machines
Microsoft Office applications, particularly MS Word, Excel, Publisher and Adobe
Ability To
Perform secretarial and administrative assistant duties
Make arithmetic calculations quickly and accurately
Understand and follow oral and written instructions
Prioritize sometimes conflicting demands
Determine appropriate action within clearly defined guidelines
Establish and maintain cooperative and effective working relationships with others
Meet schedules and timelines
Prepare reports by gathering and organizing data from a variety of sources
Work confidentially with discretion
Complete work with many interruptions
Make arrangements for meetings and conferences
Maintain a variety of files, records and logs
Work additional hours if needed
Education and Experience
Any combination equivalent to high school graduation supplemented by additional education or specialized training. A minimum of two years office experience in a mental health or similar setting. Bi-lingual in Spanish preferred.

Exposure to patients with mental/psychiatric conditions

Dexterity of hands and fingers to operate a computer keyboard
Ability to sit for extended periods of time
Hearing and speaking to exchange information in person or on the telephone
Seeing to read a variety of materials
Bending and kneeling to reach files in cabinets
