Position TitleAssistant Director of Alumni and Parent Relations
Salary ($US) and BenefitsHiring Range: $39,230 - $49,383
Basic FunctionUnder the guidance of the Director of Alumni/Parent Relations and Marketing and the Alumni Board of Directors, the Assistant Director has primary responsibility for the implementation of key programs of the Alumni and Parent Relations Office and the Alumni Board of Directors and the development, planning and execution of alumni events.
Representative Duties• Work directly with the Director and Associate Director of Alumni and Parent Relations and the Alumni Board of Directors on the development and planning of key initiatives including: Student-to-Alumni Programming, Graduates Of the Last Decade (GOLD) Programming, Class Representatives, Events (Homecoming, Reunions), Student Ambassadors Program and other initiatives as needed.
• Assist in the planning, management, and promotion of all major alumni events including Homecoming, New Student Orientation and Commencement among others.
• Oversee and coordinate the Class Representatives Program including the planning and coordination of all Class Reunions.
• Develop and execute strategies for engaging recent alumni through the GOLD program including the planning and orchestration of professional and social networking events, one-year reunion, volunteerism, and the cultivation of leaders and contributors.
• Orchestrate all Student-to-Alumni initiatives including senior year communication and activities.
• Promote, interview, train and manage engagements for the Student Ambassador Circle.
• Act as staff liaison for the University Relations Committee of the Alumni Board of Directors.
• Act as staff liaison for the Senior Pride Committee and other student initiatives as needed. E
• Successfully identify, solicit and steward alumni for gifts to the University. E
• Engage and maintain an active presence on CLU alumni social media sites including Facebook and Linked In.
• Provide necessary support for any events and programs in which the Alumni and Parent Relations Office and/or alumni and parents participate. E
• Oversee and be accountable for staying within event and program budgets. E
• Work with the Director to evaluate and assess all assigned events and activities. E
• Act as the official representative of the Alumni and Parent Relations Office at alumni and University functions in the absence of the Director.
• Articulate CLU’s mission/vision to gathered groups as needed. E
• Coordinate the production of alumni surveys.
• Perform related duties as assigned.
Knowledge OfPlanning, organization and direction of alumni relations programs, specifically including event planning
University mission, goals, and objectives
Alumni Association mission, goals and objectives
Oral and written communication skills;
University fund-raising goals and objectives
Operation of computer and office equipment including Microsoft suite (some graphic design and data management programs a plus)
Social networking sites (Facebook and Linked In) and their use as communication tool; web design a plus
Principles and practice of volunteer motivation/coordination and student supervision
Budget preparation and analysis for alumni events
Ability ToEstablish and maintain cooperative and effective working relationships with others.
Organize and manage projects;
Communicate effectively information and ideas both orally and in writing;
Work independently with little direction;
Operate a computer terminal and other office equipment to enter data, maintain records, and prepare correspondence.
Train and provide work direction to others
Attend to details;
Speak confidently in public to various sized groups is a plus.
Education and ExperienceEDUCATION AND EXPERIENCE:
Any combination equivalent to: a Bachelor’s degree and two years experience in program development, planning and coordinating events within higher education institutions or non-profits; experience in student government, residence life, club leadership, student leadership, or admissions will be considered.
LICENSES AND OTHER REQUIREMENTS:
Valid California driver’s license
Some weekend and evening meetings
Some travel required
Driving a vehicle to conduct work
Hearing and speaking to exchange information in person or on the telephone
Seeing to read various materials
Sitting for long periods of time
Dexterity of hands and fingers to operate a computer keyboard
Bending at the waist, kneeling or crouching to store or retrieve records.
