Be a Virtual Lightweight

This week Charlene Ismay announced the annual clean-up program. Thanks, Facilties, we really appreciate your offer to pick up no-longer-needed office paraphernalia. 

Tech Bytes has jumped on the “Purge Bandwagon” by reminding all Cal Lutheran Outlook and Entourage email account holders to trim their mailboxes by deleting old, unwanted e-messages. There are two ways to trim your mailboxes: archiving or deleting. Tech Bytes will touch on Archiving in the next edition, but here are quick and easy steps to become more virtually lightweight:

Outlook  
    1. Select your mailbox to clean; e.g., Inbox, Sent Items or other.  
    2. On the View menu select Current View; then select “Message” (note that a check mark appears beside the selection). 
    3. Next, click on the From header above the column that displays the message sender’s name (messages will then be grouped in folders by sender).
    4. Review each folder’s content; if all messages from a sender are to be deleted, simply right click the folder title and choose “Delete” from the dropdown menu.
    5. Deleted items are moved to the Deleted Items folder. To finish the deletion process, right click on this folder in the Navigation Pane and select “Empty Deleted Items Folder.”  

Entourage 
    1. Select the mailbox to clean; e.g., Inbox, Sent Items or other.  
    2. On the View menu select Show in Groups.
    3. Next, click on the From header above the column that displays the message sender’s name (messages then will be sorted in groups according to sender).
    4. Review each folder’s content; if all messages from a sender are to be deleted, hold down the Control key while selecting the group name and choose Delete from the dropdown menu.
    5. Deleted items are moved to the Deleted Items group in the Navigation Pane. To finish the deletion process, hold down the Control key while selecting the Deleted Items group and choose “Empty deleted items” from the dropdown menu.

Following these steps you will be able to purge the inbox of unwanted mail in a matter of minutes.
Reminder:  Another push to purge will come from Facilities during August 23 through September 3. Tech Bytes recommends putting these dates on your calendar as a reminder to maintain your virtual health by trimming down your email inbox.
